Day one at the office is always exciting. New environment, new responsibilities, and the avidity to meet new people fascinate everyone. But, with the pandemic and the subsequent work-from-home edicts, the ‘first-day at job’ experience has turned upside down—not just for new hires but also for organizations. What led to this situation is companies’ high dependence on conventional employee onboarding and lifecycle management methods that involve time-consuming manual processes, creating inefficiencies and high cost. This is just the tip of the iceberg. The use of such archaic methods in employee lifecycle management also creates potential risks upon sensitive terminations. Failure to remove disgruntled employee’s access in time creates unwanted problems, putting unnecessary strains on HR and burden of security and reputation risk on the organization. Even in the post-pandemic world where companies embrace a hybrid work model, the traditional approach to employee lifecycle management does little to bring about a motivating first-day experience and hassle-free termination. As such, it’s high time for organizations to embrace robust solutions that automate their operations for efficiently onboarding and off-boarding their employees and managing employee lifecycle events.

Enter RoboMQ. Established in 2012, this Virginia-based iPaaS (Integration Platform-as-a-Service) company specializes in establishing seamless integrations between existing ERP and CRM applications on cloud and on-premises, enabling organizations to build business processes and automate their critical operations. “We help organizations across several industry verticals automate their employee lifecycle management operations with our HRIS to AD (or Azure AD) pre-packaged integration solution,” says Bramh Gupta, CEO of RoboMQ. “Designed to manage employee lifecycle in real-time, our solution propagates changes in HR systems to AD, Azure AD and Identity and access management systems, creates identity, and provides role-based access to enable single sign-on by keeping HR system as the master system of records (SOR).”

Unlike a typical non-automated model, RoboMQ’s HRIS integration solution performs these operations in an automated and rule-driven way, where clients can define rules pertaining to grant of access to their enterprise systems. What gives the solution an extra edge is its ability to encompass the entire employee lifecycle, from onboarding to profile changes to the termination.

By helping clients eliminate complex and time-consuming manual work, RoboMQ provides a superior synchronization between their HR and IT teams, resulting in greater cost savings and better first day at work experience. In addition, it helps reduce financial and regulatory risks by integrating employee lifecycle events into the AD and enforcing role-based and controlled access. This way, the company also resolves the ever-growing concerns over potential security risks associated with unpleasant terminations.

Elaborating more on RoboMQ’s value proposition, Gupta recalls its collaboration with Topgolf, a large-scale sports entertainment company with a global footprint that employs over 28,000 employees worldwide across its 70+ locations. For such a huge workforce the task to manage employee lifecycle events and role based access was enormous task for the client’s teams and conventional systems. So, they decided to collaborate with RoboMQ to streamline and automate their entire employee lifecycle management process. From creating employee identities to providing them with access to enterprise and POS systems, RoboMQ helped Topgolf perform their critical operations in near real-time, enabling them to save over $700,000 per year in direct labor costs. Post-collaboration, Topgolf was able to save 1.5 hours of work for HR and IT for each employee change. In another instance, the company helped the Museum of Science and Industry in Chicago manage their seasonal staff by leveraging its HRIS to AD integration solution.

Such instances of success manifest RoboMQ’s capability to build what adds value to its clients’ business operations. Dedicated to serving more customers, the company today supports eight major HR systems, including SuccessFactors, Workday, Oracle HCM, ADP, and BambooHR, to name a few. It is now driving to roll out a self-service DIY version of its “Employee Lifecycle and Identity Management” solution on its no-code architecture, with an intent to eliminate its client onboarding procedures and reduce implementation cost. “We’re on an incessant mission to make a world of difference in the employee onboarding and lifecycle management realm. As a company, we are always open to clients’ feedback and strive to innovate our solutions to align well with the current market needs,” concludes Gupta.
